How to use Portal as a mentor
Signing up as a mentor
Step 1:
Receive invitation email or click on signup link given by your programme admin

Invitation by Email

Click on the “Join Now” button as viewable in the email as shown in Image 1.0


Invitation by Link
Click on the link to enter the signup page (See Image 1.1 below)


Note: Contact your programme owner if you did not receive any form of invitation

 
Step 2:
 
Fill in your account details as requested in the Programme Signup Page

Sign Up

Click on the “Sign Up” button once your details have been filled up as shown in Image 2.0

 

Quick Profile Setup

After clicking “Sign Up” button, you will be prompted to fill up some initial details for your profile which includes a profile picture, a work experience, and some industry and expertise tags.

This Program Overview page is the first page you will see once you log in.

Hover over the “Mentorship” tab and click “Dashboard” from the dropdown list

Update Profile

Click on “Update Profile” as outlined in red in Image 3.2 to update your user profile.

Fill up your details as outlined in Image 3.3. The more details filled up, the higher the Profile Completion Percentage will show until 100% in Image 3.2.

 
 
Step 4:
 
 Setting your Availability

You will need to setup the days and periods when mentees on the platform can make a mentorship request to you.

On the same “Dashboard” page, click on “Manage your Availability” as shown in Image 4.0 to go to the availability settings page

Set Available/Not Available

You can quickly set yourself as Available/Not Available for Sessions by clicking toggling the switch above the “Manage your Availability” text

Setting your Contact Method

Click on Contact Method to specify how you can be contacted (E.g. Whatsapp call, Portal video call and physical meeting) as shown in Image 4.1.

 

Setting your Time Availability

Click on Time Availability as shown in Image 4.1 in order to set your availability by:

  1. Days of the week

  2. Specific Time Frames

 

It’s important to set your time zone to ensure mentees are booking you based on your timeslot.


 

Signup Process Complete

Creating your account, setting up the details and your availability makes you ready to receive mentorship session requests from mentees, which will be explained further below.

 
Mentorship Process
As the mentor, you will carry out the mentorship process by receiving mentoring requests from the mentee and accepting it.
Step 5:
 
Responding to a Mentoring Request

You can receive mentoring requests from the notifications in the platform as shown in Image 5.0 and email notifications as shown in Image 5.1. You can also view all mentoring requests in the appointments tab as shown in Image 5.2.

Responding through Notifications

Click on the notification bell as shown in Image 5.0, then click on the latest mentoring request notice from the top

Responding through Email

Click on the mentoring request email in your inbox and click on the “View My Bookings” as shown in Image 5.1.

 

Responding through Appointments Page

Hover your mouse over the “Mentorship” tab and click on the “Appointments” as shown in Image 5.2.

Step 6:
 
Accepting the Mentoring Request from the Mentee

Once you enter the appointments page, you will get to accept, reschedule or reject the mentoring session request

Click on the “⋮” as shown in Image 6.0 to view the session details

Click on the Accept Booking button to accept the booking request as shown in Image 6.1

 
 
Step 7:
 
Carrying out the mentorship session via videocall

This is assuming your mentor has already accepted your booking request. If your session is not videocall, skip to Step 7.

Click on “Join Session Room” as shown in Image 7.0 to proceed to the Portal Videocall.

Click on “I’m ready to chat” as shown in Image 7.1 in order to start the video call. Once the mentor has done the same, the video call will commence.

 
Step 8:
 
Completing and Rating the Session

Once the session has been carried out. It is time to complete the session and rate your mentee.

Enter the “Appointments” page as previously shown in Image 5.2 and then click on the “⋮” in order to bring up the session details as shown in Image 8.0.

Complete Booking

Click on Complete Booking to indicate the session as completed. You will be prompted to rate the session as shown in Image 8.2

Submitting Rating

Fill up the rating criteria as shown in Image 8.2 and then click Submit Rating to complete the Rating Submission. This step completes the mentorship session process and the session rating can be viewed under the “Appointments” page.

 
Special Case - Log Offline Session

Click on “Log offline session” the top right corner of the screen as shown in image 9.0

A pop-up box shall appear.
Fill in all the necessary details regarding the session.
Click on “Proceed to Feedback”.

Rate the sessions on several criteria as shown in the image 9.2 below.

Click on “Submit”.

Change Password

Click on “Update Profile” the top left corner of the screen as shown in image 10.0

A page will appear for profile and account setting like shown in image 10.1 below.
Click on “Security”.
Type in your new password and fill up the necessary boxes.
Click on “Update password”.

Conclusion

The mentorship process starts from a mentee requesting a session with you and ends once the session has been rated by both sides. At this point, you can have the mentee schedule another mentorship session with you in the near future. We hope this guide has been helpful in utilizing the platform.
